SwiftSocial / Acquisition field notes

See which inquiries became jobs, and what cash is left.

Pick a month of inquiries and a date to check their progress. This group is your cohort. Check the totals against your records. Leave unknown counts blank. Compare groups only when you use the same rules and give them the same time to turn into jobs.

A private review tool, not a benchmark or forecast. Use anonymous totals from your own records. Nothing is sent or saved automatically. Download a named review to open again later. Keep that file private.

01 / Set the cohort

02 / Count the same opportunities

Remove duplicates. Count each household or project once at each step: inquiry → contacted → estimate held → job accepted → installation completed. Every record in a later step must also be in the step before it.

If your process skips a step, check how your records fit these rules first. Do not invent an estimate or contact to make the counts fit. Leave unknown counts blank. Use 0 only when you checked and found none.

Use consistent stage definitions
Contacted
The first real reply from a person or an approved agent. An automatic message that says the request arrived does not count. Use the same contact rule for every record.
Held estimate
An estimate visit or call that took place. A booked visit or a quote sent is a different measure. Do not count those here.
Accepted job
Documented acceptance by the customer. A deposit, invoice or completed installation is a separate event.
Completed installation
Operator-confirmed completion. Keep permit and inspection status in source records under your documented completion rule.
Source and timing
Retain original inquiry month and source in the underlying records, including unknown source. Do not substitute this month’s sales or all-company installations.

03 / Reconcile before sharing

If you plan to publish this review

For a private review, skip this section. Before sharing findings publicly, obtain separate permission, check the figures, state the period and protect the operator’s identity.

04 / Check what the work earned

Use actual figures for this same cohort, checked on the date above. Leave a blank when you do not know. Enter 0 only if you checked and found none. Use one currency and the same tax treatment throughout.

05 / Review the results

Start with an anonymous code, the inquiry month and the date you checked the records.

Example and reset

Download review file keeps every field so you can reopen it here, including blanks. CSV is for comparing records in a spreadsheet. Keep your file private; nothing is sent to your team. Compare the same cohort at the same age. This worksheet does not establish causation.
