Track collected generator sales back to their lead group

Follow money received from the same lead group. Keep refunds, open balances and job costs visible.

To track collected generator sales, join each checked payment to its job, then to the original lead group. Total money received and refunds separately at one review date.

An accepted quote is not cash. A payment received this month can belong to an older lead group. Keep both dates.

    On this page

    Start with the lead group

Pick new leads from one source and period. Give each one a stable record. Link a sold job only when your records show the match.

Keep the first lead date even when the job finishes later. Do not move a slow sale into a newer ad group just to improve that group’s result.

If the source is unclear, keep it unknown. A similar name or a nearby payment date is not enough to prove a match.

    Use three money columns

Record the sale amount, money received and money still due. Put refunds in their own line. Use one currency and show the review date.

Here is a made-up example in US dollars. Three jobs have $45,000 in agreed sales. By the review date, $25,000 has arrived. A $1,000 refund reduces net money received to $24,000.

That leaves $20,000 of the original sale amount unpaid before any other adjustments. Check the job records for the true balance. Do not call the full $45,000 collected.

    Keep costs beside the cash

List the ads, fees, tools and sales work for this group. Then link actual job costs where available. Mark missing costs as missing.

Even $24,000 in cash received is not $24,000 in profit. Equipment, labor and other costs still matter. Do not use a simple cash total as proof of return.

Show late cash without creating a new sale

Use two views when needed: cash received during the month, and cash from one lead group by a set date. Label them. They answer different questions.

Do not derive the true open balance from cash alone. A changed scope or a credit may also affect the books. Have the money owner check that field.

Close gaps with the right owner

Ask the office to verify the job and payment links. Ask the person who keeps the books to check money entries. Keep their source records, not just a screenshot of a total.

Update the same group at the next review. Late payments should improve its record without becoming new sales twice.

    Watch and learn

Follow the same lead group through payment

The sample cost math uses jobs from one lead group. It keeps cash received apart from sales still open and profit still unknown.

    Selected section: 12:56–13:44.
