    Review missed generator estimate visits

Review a missed site visit with facts. Check what was booked, what happened and whether a new visit is wanted.

Check the booking, staff account and latest replies before labeling a generator estimate as a no-show. Keep a moved visit, a failed visit and a lost job separate.

Write the known reason or leave it unknown. One visit that did not happen does not tell you whether the buyer still wants the work.

Check both sides of the plan

Read the latest booking and any replies. Check the address, time window and staff assigned. Was a change made after the visitor last read the job?

Ask the visitor what happened. Did they arrive? Could they get access? Did they reach anyone? Write facts, not a quick label like time waster.

    Use a fair reason log

Give each missed visit one known reason or mark it unknown. Keep an office error apart from a customer change. That is how you find the part your team can fix.

Do not count a cancelled visit as held. Keep the date of the missed slot even if a new date is later booked.

    • Time or address was wrong.
    • Visitor could not attend.
    • Access was not available.
    • Customer asked to move it.
    • No contact and reason unknown.

    Offer a clear reset

Use the agreed contact route to ask whether a new visit is still wanted. Keep the tone calm. Avoid blame, threats or a false deadline.

If a new time works, check access and the visit purpose again. Update the calendar and the lead record together.

Keep moved visits out of the no-show pile

Use one set of count rules before you compare weeks. A date changed in advance is not the same as a crew waiting at a closed gate.

Save the original and new dates. When the later visit happens, count it under the rule you chose. Do not count the same held estimate twice.

    Fix the repeat cause

Review a small group of missed visits from the same period. Look for a shared cause before changing the ad or form.

If time changes fail to reach staff, fix that handoff. If access is often unclear, add one access check. Give the fix an owner and check the next few visits. Keep unknown reasons visible.
