Give each open generator quote a next step

Make open quotes easier to work. Give each one a real owner, a dated next action and a reason for that action.

Give each open generator quote one clear next action, a named owner and a due point based on the last promise. Keep work your firm owes apart from a decision the buyer still needs to make.

Read the latest note before you act. An old sent date is not a reason to send the same chase message to every buyer.

Name what the quote is waiting for

Read the last talk before you choose a task. The buyer may need a scope answer. Your team may owe a revised quote. Or the buyer may have asked for time.

A waiting label is too broad. Write the actual item that needs to move. If you do not know, ask the sales owner to read the notes.

Make the task small and clear

Use a verb and a result you can check. Send revised scope is clearer than follow up. Check visit date is clearer than work lead.

Give the task to one person. Add a due date based on the promise already made. Do not create a made-up deadline for the buyer.

Show who has the next move

Keep work owed by your firm apart from a buyer decision. A buyer should not receive a chase note while your revised quote is still missing.

If the buyer is waiting, record the agreed check-in point. Respect a request to stop. An old due date does not override their contact choice.

    • Quote reference and version.
    • Current open question.
    • Who has the next move.
    • Named staff owner.
    • Next action and due date.
    • Last promise to the buyer.

Choose the action from the open item

When a task is late, do not just move its date forward. First check what the quote is waiting for.

If the notes conflict, send the row to its sales owner for review. Mark the gap. A clear unresolved row is better than a made-up next step.

    Clear the queue with facts

At each review, finish tasks that are done and set the next real step. Do not push every overdue date forward without reading it.

Close lost or declined quotes with a dated reason. Keep accepted work separate from completed jobs and payments. A clean queue should help staff act, not make the report look busy.

    Watch and learn

End with a real next step

Watch how to name the missing answer, the person who will get it and a time to speak again.
