Handle generator leads that arrive after hours
Set a clear after-hours reply plan. Give the next shift a short queue and avoid promises of round-the-clock help you do not provide.
For generator leads that come in at night, state when staff will be back. Give the next shift one queue to read. Keep quote requests apart from a true urgent service line.
An auto-reply does not mean a person read the lead. It should not promise a booked visit or help at all hours.

State the next staffed window
Use a day and a clear time window in your message. Check the time zone if you serve more than one. A vague promise of soon gives the homeowner little to plan around.
Keep holiday hours in view too. A Friday message should not promise a Saturday call when the next shift is Monday. Give one person the task of checking these dates.
Keep a queue for the next shift
Save when the request arrived and what it asked for. Use the home’s area, not just the caller’s phone area. Mark any open quote so the office can find the past notes.
An auto-reply is not proof that a person read the lead. Keep that step open until the shift owner reviews it.
- Time received.
- New request or open job.
- What the person asked.
- Any promise already made.
- Who will check it next.
Do not sell a service you lack
If you offer a real after-hours service line, show the right number and scope. Check that it reaches the team meant to answer it.
If you only take quote requests, say so. Do not label that inbox emergency help. Keep safety advice and technical fault checks with the right trained team.
Test the message against the real calendar
Check the reply for a weeknight, a weekend and a day off. Use a made-up request in a safe test area. Do not make fake live leads.
Name who updates the hours. Name who clears the queue next shift. Check any real service line on its own. A quote reply must not imply that line is staffed when it is not.
Check the first morning handover
Start with the oldest request and any promise due. Read the night’s messages before calling. Check that no other staff member has already replied.
Write the actual action in the queue. This makes the plan useful when someone is away. It also shows whether the next shift can handle the work.
Watch and learn
Name the owner and the backup
Watch the handoff check for times when the usual owner is busy or off work. Promise only the reply time your team can meet.
