Make a missed-call plan for generator leads
Give each missed call a clear owner. Use a short log so two staff do not call at once or leave a real request lost.
Put each missed generator call in one queue with an owner, backup and next check time. Save the result of the callback. An attempt is not the same as reaching the buyer.
Build the cover plan around staff who are at work. A crew at a job should not have to leave safe work to watch the phone.

Start with one call log
Use the call time, number shown and any message left. Add the job name only if you know it. A missed call with no message is still an unknown call.
Check for an open lead before you make a new one. The same person may have called twice. Keep both call times, but do not count two new buyers.
Set a first owner and backup
Pick who checks the queue during each work block. Name a backup for lunch, site visits and days off. Set a time the team can meet.
The backup should see whether the first owner has acted. A note that says called is weak. Did anyone answer? Was a message left? Is a reply still due?
- Time received.
- Known lead or new caller.
- Owner and backup.
- Last action and result.
- Next check time.
Leave a useful next note
Keep the note brief. Use the caller’s words for the job. Do not mark a call as handled just because someone tried once.
Use the contact route already agreed for that lead. A missed call does not give your team a reason to add a new sales text series.
Make the backup rule clear before lunch
Set the point when the backup takes over. It must fit your real hours and workload. A rule with no trigger leaves both people waiting for the other.
If the backup is away too, name who can cover or reset the promised response. Do not leave the old name in place and call the shift covered.
Close the shift with a handover
Before the next shift starts, read the open rows. Ask the new owner to accept each due call. Fix any row with no name.
At the week’s end, look for repeated gaps. If lunch cover keeps failing, change that block. Do not add more lead spend to hide an empty phone desk.

Give the first reply a backup owner
Dean describes office cover while he is out. Apply the idea to missed calls so a request is not left waiting on one person.
