Dolphin Group Incorporated lesson
Who answers while you install? A Dolphin Group lesson
Give the office a clear first move when the owner is on a job. Use a simple generator lead response plan.
Give new generator leads a named first-reply owner while you are on a job. Add backup cover and a shared note so two people do not call at once.
Dean at Dolphin Group describes how the office helped while he was in the field. The useful lesson is shared cover with clear ownership.

What the client described
In his historical interview, Dean says leads reached the office as well as him. The office could make first contact while he was on a site visit or install. Dean and Dale also helped with replies.
Dolphin already had referrals and leads from the maker. This was added demand for an established business. It was not a test of this checklist on its own.
Plan cover around the workday
Write down when the owner cannot answer. Include travel, home visits and crew work. For each gap, name a first reply person and a backup.
Do not send the same task to three people and hope one takes it. Shared alerts can help. A clear owner is still needed so the homeowner does not get three calls at once.
Give the office a first move
The office can confirm the request, check the area and ask when the homeowner can talk. It does not need to guess a final price or solve every site question.
Tell staff which questions need an estimator. Record those questions in the same lead note. The next person should see what has already been said.
Use a short shift check
Check held calls and visits too. A quick first reply is useful only if the promised next step happens. Review a missed handoff with the team and fix the gap.
- Who covers the next block of time?
- Who is the backup?
- Which leads have not had a reply?
- Which ones need the estimator?
- Is each promised call time written down?
- Has the next person accepted the handoff?
Make the backup a real handoff
An alert tells someone a lead exists. It does not prove that they took the task. Record who accepted it and the next promised call.
If the first owner cannot keep that call, the backup takes the task and sees the same notes. Keep the homeowner’s contact choices with the handoff.
