Keep buyers informed when install dates move

Explain a changed install date without a false promise. Give the buyer the known facts, open step and next update date.

    By SwiftSocial3 min read

When a generator install date moves, state the change, checked reason, next action and next update date. Say who owns that update. If no new start is firm, say so.

Check the facts with the job owner first. Sales, the office and the crew should give the buyer the same answer.

Check the cause before you call

Get the current fact from the job owner. Is the hold due to parts, a site check, another trade or crew time? Name what is known and what still needs an answer.

Do not pass on a rough guess as a firm date. Check the effect on the whole job, including any work planned with another team.

    Use a four-part update

Start with the change. Then explain its effect and the next step. Finish with the person and date for the next update.

If your team made an error, say so in plain words. Avoid blaming a supplier or crew member without checked facts.

    Check what the move affects

Ask whether the change affects access, time off or other work at the home. Note the answer for the job owner. Do not promise to cover a cost or change terms unless that is approved.

Update the crew plan and the customer record. Keep the old date in the history with the reason for the change.

    • Buyer told through the agreed route.
    • Other trades or visits checked.
    • Old and new facts saved.
    • Next update has a name and date.

Keep the update date apart from the start date

Your team may control when it calls the buyer, even when it cannot control a missing part. Make those two dates clear.

At that check point, give the update even if the hold remains. When you can confirm a new start, check crew, parts and access together. Do not turn an unconfirmed supplier estimate into a firm crew booking.

Keep the next update even with no news

A date for an update is a promise your team can control. Do not wait for the whole problem to be solved before keeping it.

When a new start is confirmed, check the crew and access first. Then tell the buyer what is firm and what may still change. Clear limits are more useful than repeated hopeful dates.
