Match new quotes to real crew capacity
Use crew hours to check room for more work. Keep sold jobs, quote demand and open time separate on a simple sheet.
Work out usable crew time, subtract sold work and a real buffer, then check the hours needed for each new job. Keep all figures in the same unit. Open quotes are demand, not sold work.
Use your own job records. Another dealer’s install pace does not tell you what your crew can do next week.

Choose one clear unit
Use crew hours or crew days. Keep that unit the same across the sheet. One crew day is not the same as one person’s day.
Start with the hours the crew is at work. Take out leave, travel, training and other booked work. Keep some time free for jobs that run long.
Show the available time
Use checked job plans for work already sold. Do not fill every open slot with a best-case estimate. The site lead should review unusual jobs.
The example below shows the method only. Its hours are made up and are not a target for your team.
Keep quotes out of the sold row
An open quote may become work, but it is not yet an accepted job. Show quote demand beside the crew plan rather than booking it all as sold.
Agree who moves a job into the sold row. Check the scope, acceptance and ready steps first. Record changes as they happen.
- Hours available.
- Hours already committed.
- Buffer kept.
- Hours still open.
- New job hours checked.
Check the limit outside the crew sheet too
A free crew slot is not the only part of capacity. A quote visit needs a sales slot. A new lead needs office cover. A job may also need parts or another trade.
A full install week does not always mean stop taking quote requests. Sales can discuss later work if it gives truthful dates. Label a possible future slot as possible, not booked.
Use the sheet with sales
Give sales the next dates the team can fairly discuss. Be clear when a date is only a possible slot.
Review the sheet when a job runs long or a crew member is away. A full install plan may also leave room for quotes for later work. Match the promise to the real limit rather than stopping every inquiry.
