Generator pad quote brief: what to send the vendor

Gather the job facts a pad vendor needs to review a quote. Keep product fit and site checks with qualified people.

    By SwiftSocial3 min read

For a generator pad quote, send the exact unit model, the source file, job area and open site questions. Ask the vendor to state the item and freight terms in its reply.

This brief asks for review. It does not choose a pad size or approve the site. Keep that work with the trained job team.

Name the unit, not just the brand

Copy the exact model from the job file. Add its current spec sheet or manual if you have it. A brand name alone may leave the vendor guessing.

Say whether the unit is already chosen or still under review. If it changes later, the pad quote may need a fresh check.

Keep the file version and date with the brief. You can find model help on the maker’s site. Use the source for the unit on your job, not one that looks like it.

    Show the site questions

Share only the site details the review needs. Add a clear photo and marked plan if useful. Show where access or layout needs a check.

Ask the trained job lead which facts are still needed. A photo does not prove the site is ready. Soil, layout and local rules need the right review.

    • Exact unit model and source file.
    • Job area and drop-off place.
    • Known site and access limits.
    • Photos cleared for this use.
    • Items the installer still must check.
    • Dates you hope to receive it, not a promise.

    Ask for a complete quote

Ask which exact item the quote covers. Check what you get and what is left out. Ask which job facts the vendor used.

Keep item price, freight and extra handling apart. Ask who unloads it and where it will be left. Those details can change the crew’s plan.

    Make a model change visible

Put the unit model and file date at the top of the brief. Give a changed brief a new date. Tell the vendor what changed instead of silently swapping a file.

Check the reply against that version. A quick price for the old unit is not a checked quote for the new one.

    Check before you commit

Have the right job lead check the item and site fit. Then agree the freight plan with the vendor. A quote date is not a promise to ship.

Save the quote you agreed to with the job. If the unit, site or plan changes, flag it before the crew works from an old brief.
