Make a generator quote email easy to open

Check that a buyer can find and open the right quote. Use a clear subject, a simple file name and one next step.

A generator quote email needs the current quote, a clear scope note and one next step. Check that the buyer can open the exact file or link before you chase a reply.

A sent email is not proof the quote was received or read. Use a clear subject and version so the buyer and office work from the same copy.

Use a clear subject and file name

Name your firm and the purpose of the email. Avoid a bare subject such as document or follow-up. It may mean little to someone with several quotes.

Give the file a simple name and version. Keep private details out of the file name if they are not needed. The buyer should know which copy is current.

Test the exact way to open it

Use a made-up quote to test the file or link. Keep real customer details out of the test. Try the same type of phone link your buyer will receive.

If the file needs a sign-in, say so. If access fails, give a real person to contact. Do not make the buyer guess whether an error means the quote is gone.

Say what the buyer should review

Briefly name the work in the quote. Point out any item still waiting on a site fact. Do not hide a scope change in a new attachment.

Ask one useful question. A request to check the scope may be more helpful than a vague call me. Keep your agreed next call date if there is one.

    • The correct quote is attached or linked.
    • The file name shows the current version.
    • The job scope matches the note.
    • Open items are clear.
    • A real contact can help.

Put the file and question in one short note

Use this frame only after you check the attached version. Keep extra sales text out of the way.

If a revised quote replaces this one, name the changed item. Do not say “same quote” when the scope or price has changed. Keep the current copy clear on the job record.

    Keep later versions in order

If the scope changes, explain the change in plain words. Label the new quote and mark the old one as replaced in your records.

Keep both versions for the job history. The office and sales team should use the same copy. A clean version trail helps avoid a price chat based on the wrong work.
