Switching generator marketing agencies: ownership and handoff checklist

    By SwiftSocial · Published October 3, 2026

Change providers without losing the enquiries, customer history and working campaigns your installation business relies on. A good handoff gives your team usable access, clear responsibilities and a tested path from homeowner enquiry to estimate. Agree those outcomes before moving accounts or cancelling tools.

    Keep what already works

List the reason for the change: unsuitable enquiries, unclear reporting, missed follow-up, recurring management costs or a team that wants more control. Then separate the replacement from the parts worth keeping. Referrals, manufacturer opportunities, a useful website and a working CRM can remain part of the plan. Changing agencies does not automatically require rebuilding your whole sales operation.

Compare the proposed responsibilities in the agency selection guide. Name who handles campaign decisions, homeowner calls, estimates and reporting during the transition. Your installation and office teams need the same schedule as the marketing providers.

Inventory access, ownership and running costs

For each asset, record the account holder, usable business access, billing owner, permitted handoff and recurring cost. Ownership, administrator access and a licence are different. A login can let you edit a page without giving you transferable rights to its underlying software or creative files.

    • Domain and pages: registrar, DNS, hosting, website, lead pages, forms and redirect destinations.
    • Advertising and creative: platform accounts, billing, campaigns, audiences, source files and permitted image or video use.
    • Data and measurement: CRM records, source fields, analytics, tags, conversion definitions and reporting access.
    • Communication: phone numbers, call routing, sender identities, calendars, appointment rules and notifications.
    • Automation and training: workflow logic, integrations, templates, operating instructions and the person maintaining each connection.

Ask the outgoing and incoming providers to resolve unclear items in writing. Verify access through business-controlled accounts rather than sharing passwords. Review SwiftSocial's current investment and scope and the written agreement for the terms of your engagement.

Preserve the baseline and customer records

Save a dated view of active campaigns, spend, enquiries, estimates, accepted quotes, completed installs and collected payments. Keep the reporting period and source definitions attached. Use the dealer acquisition scorecard to follow the same customers through the stages instead of comparing unrelated totals.

Agree which records can move and how fields will map. Preserve source history, assigned staff, open tasks, appointment status and consent or contact preferences, including opt-outs. Check a sample in the destination before importing the remainder. Deduplicate deliberately; moving a record must not silently restart a nurture sequence or turn an opted-out contact into a new subscriber.

    Demonstrate the complete handoff

    Acceptance walkthrough

    1. Use a clearly labelled test record in a controlled test environment, with team-controlled contact details.
    2. Demonstrate the form, source capture, correct assignment and notification reaching the intended handler.
    3. Check the callback route, calendar availability, time zone, rescheduling and cancellation behavior.
    4. Move the record through estimate and outcome stages; confirm it stays excluded from real lead, sale and revenue reporting.
    5. Check duplicate submission, unavailable staff and opted-out contact behavior before approving the route.

Do not submit a fictional homeowner enquiry into a live sales queue. If a production check is necessary, agree a supervised test with the receiving team and suppress customer-facing messages and reporting effects. See how CRM and follow-up connect the operational steps.

Stage the switch and keep a rollback path

Set the cutover around team availability and open appointments. Assign one owner to each live campaign and its budget. Avoid paying for duplicate replacements unintentionally; any parallel test needs an agreed budget, audience and measurement plan. Include temporary overlapping subscriptions in your marketing cost calculation.

Preserve the previous configuration until the replacement passes its checks. Record how to restore destinations, routing and campaign settings if enquiries fail to reach the team. Move phone numbers, domains and calendars according to their verified transfer requirements, keeping appointment access intact. Remove obsolete access and subscriptions only after the replacement is accepted.

Train the team and accept usable delivery

Have the people doing the work demonstrate it themselves: find an enquiry, contact the homeowner, arrange an estimate, record the outcome and read the report. Give them concise instructions and an escalation contact. Record accepted items, open fixes and their owners. A folder of files is useful; a team that can operate the agreed process is the handoff outcome to verify.

Review SwiftSocial's services against your existing setup to decide what should stay, what needs improvement and what your team will manage after delivery.

    Common handoff questions

Do we need to replace our existing CRM when changing agencies?

Start by checking what already works: enquiry capture, assigned follow-up, calendar availability and reporting. Keep a working CRM when the proposed setup can support it. If a move is needed, agree the export fields, integrations, operating costs and acceptance checks before setting a cutover date.

Does administrator access mean we own the marketing system?

No. Administrator access is permission to operate an account. Ownership, transferable assets and permitted use of licensed software or creative depend on the account arrangement and written scope. List those separately, including who controls billing and what remains accessible after service ends.

Can campaigns stay live during an agency handoff?

They can when the destination, tracking and follow-up remain operational and both teams follow an agreed schedule. Assign one owner for each active campaign and budget. Avoid overlapping replacements until the old campaign is paused or a deliberately budgeted parallel test has been agreed.

What should we confirm before accepting the handoff?

Confirm usable access, agreed assets, subscription responsibility, record migration, lead routing, calendar behavior and team training. Demonstrate the process with clearly labelled test records excluded from real lead and revenue reports. Review SwiftSocial's current investment page and your written scope for the services, responsibilities and terms that apply to your engagement.
